Position : Specialist, General Administration (Taipei City)
An L4 WMB staff is responsible for overseeing daily administrative operations to ensure the workplace runs efficiently. This includes supervising administrative staff, managing office supplies and budgets, coordinating meetings and events, and handling internal and external communication. Key skills for this role are strong organizational, leadership, and communication abilities, along with proficiency in office software.
What will you do?
1. Facilities & Office Management
Manage property maintenance, repairs, and renovation projects.
Oversee daily office operations, including supplies, equipment, vendor management, and seating arrangements.
Maintain asset tracking, maintenance records, and depreciation schedules.
Handle leasing activities such as negotiations, contract management, and coordination with landlords.
Monitor budgets, analyze expenses, and recommend cost‑saving actions.
2. Administration & Daily Operations
Implement and maintain office policies, procedures, and documentation workflows.
Manage general administrative tasks, including mail handling, calls, emails, and filing.
Update and maintain WMB information on the company wiki.
Support office perks, employee engagement programs, and internal activities.
3. Staff & Team Support
Assist with onboarding processes and HR‑related administrative tasks.
Coordinate meetings, travel arrangements, and company events.
4. Finance & Record Management
Manage office budgets and expense tracking.
Handle PR/PO creation, submission, and follow-up.
Maintain organized and accurate office records and filing systems.
5. Communication & Liaison
Act as the primary point of contact for internal teams, external partners, and service providers.
Prepare reports, documents, and presentations to support communication flow.
Welcome and assist office visitors, ensuring a professional office environment.
Essential Qualifications
- Bachelor’s degree in Business Administration, Management, or related field (preferred).
- 3 years of solid office management/ administration/ employee benefit function experience.
- 1+ years of office/ workplace renovation related project management experience.
- Strong knowledge of PR/PO processes, vendor management, and budgeting.
- Excellent organizational, multitasking, and problem‑solving skills.
- Strong communication and coordination abilities across teams and external partners.
- Proficiency with office software and internal documentation systems (e.g., wiki platforms).
- Ability to operate independently with high attention to detail and strong sense of ownership.
